Turn meeting notes into action items without inventing owners

AI can help turn meeting notes into proposed action items by extracting commitments, owners and dates. The workflow should preserve uncertainty when the conversation did not settle those details. A suggestion mentioned during a meeting is not automatically an approved task.

Separate decisions from discussion

Imagine a team saying someone should review the pricing page. Unless a person accepted the work, the owner is unresolved. An assistant should prepare a proposed task with that gap visible rather than assign it to the most frequently mentioned teammate.

The same applies to dates. Next week may need clarification before becoming a calendar deadline, especially across time zones or an ambiguous meeting date.

Use an action review table

  • Action: the concrete deliverable proposed or agreed.
  • Evidence: the relevant note or transcript reference.
  • Owner: confirmed person or explicitly unassigned.
  • Timing: agreed date or a question to resolve.
  • Status: proposed, approved, created or completed.

Give the meeting owner a way to correct the table before creating tasks in the team's system. Keep the source reference attached so disagreements can be resolved without replaying the whole meeting.

Test what should not become a task

Include a hypothetical idea, a rejected proposal and a commitment that was later corrected. The assistant should not turn all three into active work. Check whether the final decision overrides earlier discussion without deleting the useful history.

Also verify duplicate handling when the same transcript is processed twice.

Close the handoff

After approval, create only the agreed tasks and record their destination IDs. Report which items were created and which remain unresolved. A useful workflow leaves the team with clear responsibility, not a larger task board filled with plausible assignments nobody accepted.
