AI CRM updates: propose the change before writing it
An AI CRM workflow can identify proposed updates from conversations and records, then present the changes for review before writing.

An AI CRM workflow can identify proposed updates from conversations and records, then present the changes for review before writing. Keep current facts, inferred interest and confirmed commercial decisions separate. A positive email does not automatically mean a deal is won.
Define field-level authority
Imagine a call summary mentioning a possible project next quarter. The assistant may suggest adding a note, but changing forecast value or close date requires a source and an authorized decision. Different fields carry different consequences.
Start with a small set of low-risk, well-defined updates. Keep destructive operations and broad overwrites outside the initial workflow.
Show a reviewable difference
- Record: the exact account or opportunity ID.
- Current value: what the CRM contains now.
- Proposed value: the specific change.
- Source: the conversation or document supporting it.
- Uncertainty: missing details or conflicting information.
Reviewing before-and-after values is easier than approving a vague instruction to clean up the CRM. It also reduces accidental loss of existing notes.
Protect against concurrent edits
Another teammate may update the record while the agent prepares its proposal. Before writing, check that the relevant version or fields still match the reviewed state. If they changed, reconcile rather than overwrite automatically.
Use the CRM's supported conflict-handling mechanisms where available. Record the destination result and confirm the intended fields changed without affecting unrelated data.
Test a misleading conversation
Include enthusiasm without commitment, a corrected amount and a contact with a similar name in another account. A passing workflow preserves these distinctions. Measure accepted updates and correction effort, not only the number of fields populated. A cleaner-looking CRM is valuable only if its records remain trustworthy.
