A WhatsApp AI agent needs more than a chat interface
A WhatsApp AI agent uses a familiar conversation channel to start or review work, while the underlying system manages context, tools, permissions and task state.

A WhatsApp AI agent uses a familiar conversation channel to start or review work, while the underlying system manages context, tools, permissions and task state. The chat interface can make adoption easier, but it does not replace the operating design behind the agent.
Turn a message into a bounded task
Imagine an owner sending a voice note asking for a meeting brief. The system needs to identify the requester, resolve which meeting they mean, retrieve permitted notes and return a useful artifact. If the meeting is ambiguous, it should ask one specific question rather than guess from a similar name.
Keep the task record outside the chat stream as well. A long group conversation is a poor substitute for a reliable queue of open work.
Agree on channel behavior
- Who may request work and in which conversations?
- Does the agent respond to every message or only explicit requests?
- Where are drafts, approvals and completed artifacts stored?
- Which actions can happen after a chat request?
- How can a person pause or stop the workflow?
Group membership alone should not imply permission to access every connected business system. Apply identity and authorization checks to the requested action.
Handle voice and media carefully
A transcription can misread names, amounts or dates. Confirm consequential ambiguity against a reliable record or with the requester. Preserve the original context when needed for review, under the agreed retention policy.
A file mentioned before it arrives is not necessarily missing forever. The workflow should handle delayed attachments without inventing their contents.
Measure completed work
A friendly response is only the beginning. Check whether the requested draft, record or brief exists and whether the person can open it. When a provider or channel is unavailable, return an honest status through the approved route. The useful product is continuity from request to verified result, not simply more messages in the chat.
